Field Event Sales Coordinator

Supports exhibitor and sponsor sales operations by managing inquiries, onboarding, contracts, payments, deliverables, and event coordination. Requires 1–3 years of sales or administrative support experience, strong organization and communication skills, and comfort working remotely.

Responsibilities

  • Manage exhibitor and sponsor email inquiries, inbound site inquiries, and reactive leads.
  • Support onboarding of new exhibitors and sponsors using established templates and guidelines.
  • Schedule discovery and follow-up appointments for the Senior Manager, Field Event Sales.
  • Provide on-site operational support for exhibitors and sponsors at company events.
  • Track unsigned contracts, follow up on deposits, and maintain accurate contract and payment records.
  • Own deliverable-tracking cadences, maintain dashboards and trackers, and escalate risks.
  • Coordinate with Events, Marketing, Billing, vendors, sponsors, and other internal stakeholders.
  • Maintain exhibitor and sponsor records and documentation in HighLevel CRM.
  • Document recurring challenges, support process improvements, and follow compliance and approval procedures.

Requirements

  • 1–3 years of experience in sales support, account coordination, or administrative sales.
  • Experience supporting sales, events, or operational activities in a fast-paced environment.
  • Strong attention to detail, organization, follow-up, and timeline management.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with external partners and internal teams.
  • Ability to work independently and proactively in a fully remote setting.
  • High school diploma or equivalent required.
  • Some travel required to support internal events.

Nice to Have

  • Experience in event coordination, hospitality, or customer-facing environments.
  • Experience with SaaS or high-growth companies.
  • Bachelor's degree in Event Management, Communications, Marketing, or Hospitality Management.
  • Familiarity with Google Workspace, Zoom, Slack, HighLevel CRM, ChatGPT, and Claude.
