Workplace Specialist

Supports workplace services for Databricks’ London office and regional EMEA locations, coordinating facilities partners, vendors, operational projects, budgets, and service improvements. Requires at least five years of workplace or facilities operations experience and strong cross-functional judgment.

Responsibilities

  • Deliver an outstanding and consistent workplace experience for employees, visitors, and stakeholders.
  • Work with JLL and other service partners to support facilities, food and beverage, front-of-house, post room, office supplies, and maintenance services.
  • Monitor service delivery, identify issues and improvement opportunities, and support timely resolution.
  • Develop and maintain operational processes, standards, playbooks, and planned and reactive maintenance programs.
  • Lead moderately complex workplace projects and operational workstreams involving multiple stakeholders, vendors, or locations.
  • Assess risks, anticipate blockers, recommend solutions, and maintain service continuity.
  • Build relationships across People, IT, Finance, Security, Procurement, Property Management, Executive Assistants, and business leadership.
  • Support vendor performance, operational budgets, and resource planning.
  • Use operational data, employee feedback, and AI tools to improve processes, reporting, and efficiency.
  • Support special projects and global initiatives across the Real Estate and Workplace team.

Requirements

  • At least five years of experience in facilities management, workplace services, or workplace operations, ideally in a corporate or multi-site environment.
  • Experience with an outsourced integrated facilities management provider or other third-party service partners.
  • Experience working across EMEA and understanding operational, cultural, and regulatory differences across countries and offices.
  • Knowledge of one or more workplace services areas, including facilities, food and beverage, front-of-house, events, building operations, or employee experience.
  • Experience delivering operational workstreams or mid-sized projects from planning through completion.
  • Experience coordinating vendors, service lines, or workplace programs and supporting performance reviews, issue resolution, and service improvement.
  • Strong operational judgment, communication, organization, prioritization, and cross-functional relationship-building skills.
  • Working knowledge of building maintenance, planned and reactive services, health and safety, compliance, and issue triage.
  • Experience supporting operational budgets, forecasting, and recommendations balancing cost, quality, risk, and employee experience.
  • Customer-focused, proactive, and accountable approach, with the ability to work independently under pressure.
  • Confidence using workplace technology, reporting tools, and AI to improve processes and efficiency.
  • Ability to coach, motivate, and hold team members to a high standard.
