Procurement Specialist

Responsibilities

Procure-to-Pay Operations

• Manage the daily Coupa Requisition-to-PO workflow, validating coding, documentation, and compliance with the global approval matrix.
• Monitor open purchase orders monthly, reconcile uninvoiced balances, and submit PO change requests when service periods or values require updates.
• Support requestors through the Coupa contract request form process, from commodity classification through final approval routing.
• Maintain Yext's standard Net 45 payment terms in vendor agreements and flag deviations during contracting.

SaaS Renewal Tracking

• Serve as the primary Tropic data-entry administrator, keeping the SaaS portfolio current, accurate, and documented.
• Track upcoming SaaS renewals and send 90-day alerts to procurement leadership.
• Use Tropic for price benchmarking on software renewals and new purchases, sharing market intelligence during negotiations.
• Confirm Tropic price benchmarking is completed for all software purchases in accordance with purchasing policy.

Internal Stakeholder Support

• Provide first-line support for internal procurement inquiries by triaging tickets, answering process questions, and escalating contract or legal matters.
• Guide requestors through sourcing, vendor selection, contract request submission, contract review, purchase order creation, and invoice matching.

Reporting and Data Analysis

• Build and maintain Coupa and Tableau dashboards covering open requisitions, PO aging, and contract cycle time.
• Report monthly on the SaaS renewal pipeline in Tropic, including contracts expiring within 90 or 180 days, estimated renewal value, and negotiation stage.
• Prepare procurement data extracts for internal teams as needed.

Requirements

• 3+ years of procurement, purchasing, or supply chain operations experience, ideally in a SaaS or technology company.
• Practical Coupa experience with requisitions, purchase orders, contract request form workflows, supplier management, reporting, and foundational contract lifecycle management tools.
• Familiarity with SaaS management platforms such as Tropic, Spendflo, Vendr, or Zylo.
• Familiarity with contract lifecycle management tools such as Coupa and Ironclad.
• Strong data hygiene and attention to detail.
• Clear written and verbal communication skills, including the ability to explain procurement processes to non-procurement stakeholders.
• Self-directed, collaborative, and comfortable working in a lean, fast-moving team.
• Ability to communicate clearly and precisely on technical and operational issues.
• Ability to prioritize and multitask while keeping stakeholders informed of deadlines and status.
• Excellent written and formal presentation skills.
