Recruiting Coordinator
Coordinates interviews, candidate communications, recruiting events, and compliance workflows for Vanta’s London and Dublin hiring operations. The role requires at least two years of recruiting coordination experience, strong organization, and the ability to improve processes in a fast-paced international environment.

Responsibilities
- Coordinate interviews across teams, time zones, and virtual or in-person formats.
- Own candidate communications, including scheduling emails and interview preparation materials.
- Manage onsite interview logistics in the London office, including day-of setup and support.
- Plan and execute in-person recruiting events with Talent and Workplace teams.
- Build and document EMEA-specific recruiting processes and candidate communications.
- Set up jobs and interview plans in Ashby and maintain accurate scheduling data.
- Partner with recruiters and hiring managers to update interview processes and identify workflow issues.
- Track interviewer training completion and share resources with new interviewers.
- Monitor compliance tasks, including NDA tracking and weekly Checkr background-check audits.
Requirements
- 2+ years of experience as a Recruiting Coordinator or in a similar role in a fast-paced, high-growth technology environment.
- Experience supporting distributed teams or international hiring is preferred.
- Strong organizational skills and attention to detail.
- Ability to manage competing priorities.
- Proactive approach to identifying inefficiencies, proposing solutions, and following through.
- Team-oriented, service-focused approach with a commitment to providing a warm, seamless candidate and interviewer experience.
- Willingness to use AI responsibly to improve efficiency and impact.
