Responsibilities
Executive Operating Cadence & Execution
- Own executive and leadership operating rhythms end-to-end, including agendas, advance materials, decision capture, action items, and follow-through.
- Translate leadership discussions into clear decisions, owners, deadlines, and measurable next steps.
- Drive commitments to completion across teams and surface risks early.
- Draft executive briefing documents, All Hands content, board-material sections, and recurring leadership reporting.
- Build and maintain reporting in Google Sheets and Excel, with written commentary explaining implications and areas needing leadership attention.
Executive Business Partnership & Decision Support
- Partner with executive leaders and develop fluency in their business areas, priorities, goals, and performance measures.
- Prepare leaders for important meetings by anticipating questions, identifying changes, and clarifying decisions needed.
- Synthesize complex, cross-functional information for executive audiences.
- Surface risks, dependencies, opportunities, and slipping commitments.
- Represent executives as a delegated proxy in defined forums and report outcomes and next steps.
Cross-Functional Initiative Ownership
- Own high-priority executive initiatives from planning through execution.
- Establish plans, milestones, risks, stakeholder communications, decisions, and desired outcomes.
- Drive initiatives across teams without formal authority.
- Build stakeholder alignment and accountability.
- Adapt across process, people, technical, and systems-oriented projects.
Executive Support & Administration
- Provide strategic calendar support as needed.
- Coordinate complex travel, leadership meetings, and event logistics.
- Support expense management, vendor coordination, and related operational needs.
- Handle sensitive and confidential information with judgment and discretion.
Requirements
- 5+ years of experience in a high-growth B2B SaaS environment, ideally in business operations, executive operations, program or project management, Chief of Staff, or strategic executive support.
- Experience owning an executive or leadership operating rhythm end-to-end.
- Experience driving complex, cross-functional programs to completion without formal authority.
- Strong business acumen and intellectual curiosity.
- Exceptional written communication and synthesis skills for executive audiences.
- Ability to turn complex or ambiguous discussions into concise, actionable plans and documentation.
- Advanced proficiency in Google Sheets and Excel, including data interpretation and communication.
- Strong judgment and discretion with confidential information.
- Comfort interacting with senior leaders and acting as a delegated proxy.
- Ability to operate effectively in ambiguity and create structure, processes, and playbooks.
Nice-to-Haves
- Healthcare or health technology experience, especially EMR, revenue cycle management, or payer operations.
- Experience supporting board or investor reporting cycles.
- Experience using modern AI tools in daily workflows.
- Experience in a distributed, rapidly growing, or scaling organization.
