Advisor, Facilities Management

Responsibilities

  • Maintain day-to-day facilities operations, including cleaning, office boys, pantry, pest control, stationery, security, and reception services.
  • Monitor facilities and security service providers and ensure performance and service quality meet contract statements of work.
  • Order and maintain office supplies and manage inventory.
  • Review contract terms and conditions, follow up on renewals, and maintain accurate records for annual leases and service providers.
  • Review vendor invoices and process payments.
  • Prepare reports and track facilities and project budgets.
  • Manage event operations, including planning and setup, catering, giveaways, and supplies for internal and external events.
  • Create purchase orders using an ERP system and submit expense reports.
  • Handle onboarding for new vendors in Egypt, Saudi Arabia, and Dubai.
  • Issue and distribute identification cards to new joiners.
  • Procure and distribute welcome kits for new joiners.
  • Act as the corporate account delegate with the telecom operator, handling SIM card issuance and management, monthly invoice review, and payments.
  • Arrange employee travel, including flights and hotel reservations.
  • Handle daily operational requests from employees and management.
  • Provide necessary support in HSE.

Requirements

  • Bachelor’s degree in business administration, hospitality, facilities management, or a related field.
  • 3–5 years of experience in facilities management and workplace operations.
  • Proficiency in Microsoft Office and ERP systems.
  • Strong vendor management and organizational skills.
  • Ability to multitask and manage requests from multiple stakeholders.
  • Excellent communication skills in English and Arabic.
  • Solid understanding of contract management and experience overseeing vendor performance and service quality.
