Administrative Coordinator
Provides calendar, meeting, travel, expense, and administrative support to the Office of the CEO in a hybrid Oakland role. The entry-level temporary assignment requires strong organization, accuracy, discretion, communication, and proficiency with productivity tools.

Responsibilities
- Coordinate complex calendars delegated by the Executive Administrative Specialist, resolving scheduling conflicts and accounting for time zones and meeting links.
- Manage meeting logistics, including room bookings, AV preparation, and accurate calendar invitations.
- Research flight, hotel, and ground transportation options using tools such as Navan, and compile travel itineraries for approval.
- Collect receipts, organize expense documentation, and submit accurate expense reports through systems such as Rippling.
- Execute delegated administrative tasks with accurate handoffs and consistent follow-through.
- Communicate progress transparently, escalate blockers promptly, and maintain discretion when handling sensitive information.
Requirements
- Entry-level experience or demonstrated skill in administrative, coordination, or operational support.
- Proficiency with Google Workspace, including Gmail, Google Calendar, Docs, Sheets, and Slides.
- Familiarity with Zoom and the ability to learn new tools.
- Exceptional attention to detail and accuracy in calendar management, time zones, and documentation.
- Ability to manage competing priorities in a fast-paced environment and meet tight deadlines.
- Receptiveness to direct feedback and real-time coaching.
- Proactive, transparent communication and adaptability when priorities change.
- Authorization to work in the United States without restrictions.
Compensation and Benefits
- Expected hourly rate: $43.27–$54.81, equivalent to approximately $90,001–$113,? annualized; annualized salary is not reported because the posting provides an hourly range.
