Responsibilities
Tax Invoice and Withholding Tax Certificate Management
- Serve as the primary contact for the local firm issuing paper tax invoices; receive and log each batch.
- Distribute tax invoices to customers after payment is received.
- Collect original withholding tax certificates from customers for each payment to substantiate tax credits and comply with Thailand Revenue Department requirements.
- Maintain tracking logs for invoices and withholding tax certificates issued, requested, and collected; flag outstanding or missing documents.
Document Archiving and Filing
- Scan and upload tax invoices and withholding tax certificates into Core or the designated Google Drive folder.
- Maintain consistent, audit-ready digital and physical filing structures by document type, vendor/customer, and period.
- Retain physical files securely in accordance with Thailand’s five-year retention requirement.
- Reconcile physical files with the digital archive monthly, checking legibility, completeness, and gaps.
Finance Coordination and Filing Support
- Act as the primary contact for document requests from the Finance team and external advisors.
- Coordinate with Finance and external tax advisors to provide requested documents, schedules, and supporting records promptly.
- Support responses to document-related queries from the Revenue Department and other authorities by retrieving and organizing relevant records.
Requirements
- 1–2 years of experience in finance support or document management; familiarity with Thailand tax invoices and withholding tax requirements is preferred.
- Proficiency with Google Workspace, including Drive, Sheets, and Docs.
- General computer literacy.
- Strong attention to detail and organizational skills.
- Good written and spoken English.
- Ability to manage recurring tasks independently with minimal supervision.
- Proactive communication skills and ability to flag issues early.
- Comfort working with digital tools and physical document workflows.
- High integrity and ability to handle sensitive financial documents confidentially.
Nice-to-Haves
- Experience using ERP or operational systems. Training on Core will be provided.
