Responsibilities
- Serve as the primary point of contact for the Warsaw team and new joiners.
- Welcome staff, guests, and candidates and ensure a professional, welcoming office experience.
- Manage daily office logistics, including post, communal areas, meeting room readiness, and vendor coordination.
- Coordinate cleaners, catering, maintenance, building management, office maintenance, and supplies.
- Drive office culture through snack and coffee selections, team lunches, birthday celebrations, and social rituals.
- Support on-site events, including AI hackathons and evening meetups.
- Anticipate needs, identify inefficiencies, and implement processes to improve workflow.
- Negotiate with vendors to ensure high-quality, cost-effective service.
Requirements
- Based in Warsaw and able to work in the office five days per week.
- Strong operational expertise managing the day-to-day running of a high-visibility office.
- Sound judgment and quick decision-making in high-pressure environments.
- Experience serving as the primary contact for building management.
- Experience coordinating vendors and overseeing office maintenance and supplies.
- Effective communication with senior executives, legal partners, vendors, office guests, and other stakeholders.
- Proactive, forward-thinking approach with the ability to anticipate needs and improve processes.
- Experience fostering a positive and productive office environment.
- Experience planning and executing office-wide events.
