About the role

Responsibilities

  • Keep office operations moving: manage the front desk, own calendars, support visitors and coordinate vendor requests.
  • Ensure the office is stocked: including grocery orders, Monday breakfasts, weekly lunch coordination, and supply restocking. Oversee dayporter and janitorial staff, setting cleaning schedules and resolving issues quickly.
  • Set up and maintain the office environment — managing furniture, desks, AV equipment, and security systems. Handle space openings or refreshes.
  • Handle mailing and logistics: Amazon returns, scheduling Uber couriers, and related tasks.
  • Plan and execute company events end-to-end, owning logistics, vendors, and follow-through.
  • Greet guests and candidates, ensuring seamless visits from room setup to catering to last-minute logistics.

Requirements

  • Detail-oriented with a knack for staying organized.
  • Proactive and resourceful—you spot what needs doing and make it happen.
  • Comfortable juggling multiple tasks without losing track.

Required experience:

  • Event support experience (team off-sites, exec meetings, small gatherings).
  • Vendor management or negotiation experience.
  • Strong written communication skills for clear, professional correspondence.
  • Experience as an office coordinator, office manager, or similar role.
  • Hands-on experience setting up and managing office infrastructure — AV, hardware, security systems, and contractor coordination.
  • Comfortable managing facilities vendors.
