Events and Experiences Coordinator
Coordinate planning and execution of internal/external events, client experiences, and activations. Manage logistics, vendors, communications, budgets, and on-site support while traveling up to 20%.
Responsibilities
- Support the planning and execution of internal and external events, hospitality moments, client experiences, gifting programs, and activations.
- Coordinate event logistics including attendee lists, registration details, venue research, vendor coordination, run-of-show documents, shipping, materials, signage, catering, and on-site support.
- Maintain clear trackers, timelines, checklists, and project documentation.
- Partner with internal teams including Marketing, Creative, GTM, Client Success, Rokt’star experience, EAs, and Hi!Tech.
- Support event communications, including drafting updates, reminders, guest details, post-event follow-ups, and internal stakeholder summaries.
- Help source and coordinate vendors, venues, gifting items, supplies, and event materials.
- Support budget tracking, invoice routing, and expense documentation.
- Assist with on-site execution, including setup, guest check-in, troubleshooting, stakeholder support, and post-event pack-down.
- Capture learnings after events through feedback, retros, and post-event notes.
- Use AI tools thoughtfully to accelerate drafting, planning, research, logistics, and project coordination.
- Research vertical based events and opportunities for the Rokt GTM team.
Requirements
- Some experience or demonstrated interest in events, hospitality, marketing, employee experience, project coordination, or operations.
- Strong organizational skills and high attention to detail.
- Clear written and verbal communication skills.
- Bias for action and service mindset.
- Ability to manage multiple moving pieces while staying calm under pressure.
- Comfort working in Google Workspace, spreadsheets, project trackers, and common event or marketing tools.
- AI proficiency.
- Willingness to be hands-on during events, including setup, logistics, and on-site support.
- Ability to travel up to 20% of the time.

Compensation & Benefits
- Target total compensation ranges from $75,000 - $105,000, including a fixed annual salary of $70,000 - $100,000, an employee equity plan grant, a variable target, and world-class benefits.
