Office Administrator, Part-Time

Part-time Office Administrator supporting on-site coordination, office operations, event planning, and executive assistance at the Redwood City office. Reports to Director of Executive Operations.

About the role

Responsibilities

  • Manage the workspace environment of our physical office, including supply ordering, restocking and maintenance of office supplies and swag
  • Replenish and maintain office kitchen with coffee, beverages and snacks
  • Manage deliveries to the office (third-party delivery services and grocery)
  • Support planning and coordination of office outings; including happy hours and restaurant reservations and/or activities for team events
  • Manage relationship with building management & funnel requests through appropriate channels
  • Coordinate asset and building resources, access badge management
  • Coordinate on-site weekly lunches for the office
  • Support on-site interview coordination; greeting candidates upon arrival and managing the process throughout the day
  • Welcome new hires on their first day and ensure desk, equipment and keyfob allocation is complete prior to their first day
  • Assist C-Level team with calendar management and travel arrangements
  • Work with Director of Executive Operations on assigned ad-hoc projects (i.e. organizing on-site meetings, calendaring)

Requirements

  • 3+ years in an in-office administrative position (office manager, executive assistant, or similar)
  • Strong communication skills (written and verbal) and can thrive in a fast-paced environment
  • Exceptional organizational skills and can manage competing priorities well
  • Experienced working with both an on-site and distributed workforce

Nice-to-Haves

  • Flexible hours availability (ideally between the mid-late morning to early-mid afternoon; Monday through Thursday, on-site)
