Events & Brand Coordinator

Operational lead executing events and brand activations: managing vendors, logistics, merch production, RSVPs, and day-of coordination for a fast-growing AI infrastructure startup.

About the role

What You'll Do

  • Own the execution layer of every event: vendor follow-ups, contracts chased to signature, COIs collected, RSVPs tracked, shipping and logistics coordinated end to end
  • Build and maintain the run-of-show for each activation so nothing falls through the cracks
  • Be the day-of operational lead on setup, making sure every detail matches the vision
  • Source and manage merch and swag production end to end: get quotes, manage vendors, track proofs, hit deadlines, and handle fulfillment from order to doorstep
  • Keep an eye on merch inventory and reorder timelines so we're never scrambling before an event
  • Keep vendors moving and on schedule so deadlines never slip quietly
  • Track every open logistics item across multiple events and merch runs at once and surface risks early

What We're Looking For

  • Ferociously organized with a real system for tracking dozens of moving pieces across multiple events
  • Reliable to a fault; when you own something, it gets done without needing to be chased
  • Fast, low-ego, and energized by execution; prefer perfecting over originating
  • Sweat the small stuff; catch typos, notice when name tags are out of order
  • Backgrounds that often do well: events coordinators, production assistants, executive assistants who've owned event logistics

Compensation & Benefits

  • Salary: $75,000 - $95,000 (San Francisco range)
  • Equity: 0.01% - 0.05%
  • 15 days mandatory PTO (anything after 24 days, just ask); holidays excluded
  • 12 weeks fully paid parental leave
  • $100/month wellness stipend
  • Up to $1,000/year learning & development stipend
  • Team offsites and 3-month sabbatical after 4 years
  • Medical, dental, and vision (100% for employees, 50% for spouse/kids)
  • Employer-paid short-term disability, long-term disability, and life insurance
  • 401(k) plan, FSAs, commuter benefits
  • Pet insurance
  • SF HQ perks: snacks, drinks, team lunches, ping pong
  • E-bike transportation loaner for SF-based employees
