Senior Recruiting Coordinator

Responsibilities

Interview Coordination

  • Independently manage high-volume, complex interview scheduling across countries, time zones, and stakeholder groups.
  • Coordinate complex calendars for candidates, interview panels, hiring managers, executives, and other stakeholders.
  • Arrange virtual and in-person, multi-stage, and multi-day interviews.
  • Anticipate scheduling constraints, resolve last-minute changes, and minimize hiring-process delays.
  • Prepare accurate interview confirmations, calendar invitations, schedules, and supporting materials.
  • Maintain accurate interview details and candidate activity in Talent Acquisition systems.
  • Advise recruiters and hiring teams on coordination practices for complex or business-critical searches.

Candidate Travel and Logistics

  • Coordinate domestic and international candidate travel, including flights, accommodations, ground transportation, itineraries, changes, cancellations, and disruptions.
  • Ensure arrangements comply with travel policies and budget guidelines.
  • Partner with internal stakeholders and external vendors to resolve logistical issues.
  • Improve candidate travel processes, documentation, and operational consistency.

Candidate Experience

  • Serve as a primary candidate contact throughout the interview process.
  • Provide timely, proactive, professional, and high-touch communication across countries and time zones.
  • Anticipate candidate questions and address logistical issues.
  • Support sensitive, confidential, executive, and business-critical searches with discretion.

Recruiting Operations

  • Maintain complete, accurate, and timely candidate and interview data in Applicant Tracking Systems and Talent Acquisition tools.
  • Support recruiting metrics, reporting, audits, and operational tracking.
  • Identify and implement improvements to scheduling, travel, documentation, workflows, and coordination processes.
  • Develop recruiting coordination resources, templates, documentation, and standard operating procedures.
  • Support tool and process adoption across Talent Acquisition.
  • Provide guidance and mentorship to recruiting coordinators and Talent Acquisition team members.
  • Collaborate with Talent Acquisition, PX, Finance, hiring teams, and other business partners on hiring initiatives and special projects.

Requirements

  • 5+ years of experience in recruiting coordination, Talent Acquisition operations, HR/PX operations, or a related role, including independent management of complex recruiting logistics.
  • Experience coordinating high-volume interview schedules across countries, time zones, and seniority levels.
  • Experience managing complex calendars involving candidates, hiring managers, executives, and cross-functional stakeholders.
  • Experience coordinating domestic and international candidate travel, including flights, accommodations, ground transportation, itinerary changes, and disruptions.
  • Working knowledge of Applicant Tracking Systems, scheduling tools, and workplace productivity and collaboration platforms.
  • Strong prioritization, problem-solving, organizational, project coordination, communication, judgment, discretion, and attention-to-detail skills.
  • Ability to maintain data accuracy and work effectively in a fast-paced, high-growth environment with changing priorities.
  • Ability to collaborate with globally distributed teams and support EMEA business hours as required.

Nice-to-Haves

  • 7+ years of recruiting coordination or Talent Acquisition operations experience.
  • Experience in a high-growth technology, aerospace, defense, engineering, or similarly complex organization.
  • Experience serving as a subject matter expert or senior resource in interview coordination, candidate logistics, or recruiting operations.
  • Experience supporting executive, highly specialized, high-volume, or business-critical hiring.
  • Experience improving recruiting coordination workflows and developing scalable procedures, templates, and documentation.
  • Experience supporting recruiting across multiple EMEA countries and navigating regional differences.
  • Familiarity with international travel requirements, visa documentation, and corporate travel policies.
  • Experience with recruiting metrics, reporting, data integrity, and operational tracking.
  • Experience onboarding, mentoring, or guiding recruiting coordinators or Talent Acquisition team members.
  • Experience with modern Applicant Tracking Systems and recruiting technology ecosystems.
  • European language proficiency.
