Responsibilities
- Deliver events end to end, from initial brief through on-site execution and post-event reconciliation.
- Source venues, accommodation, meeting spaces, food and beverage, audiovisual services, and delegate logistics.
- Conduct competitive RFPs, negotiate rates and concessions, manage supplier contracts, and use preferred partner programs to maximize value and savings.
- Manage delegate registration, attendee communications, rooming lists, travel coordination, and event technology platforms.
- Create group and individual reservations and accurately enter data into internal systems.
- Negotiate fares and flexible supplier terms and conditions.
- Provide personalized travel support, including resolving hotel, flight, car, and rail booking changes, cancellations, and updates.
- Work with client contacts to understand program objectives and define critical success factors.
- Maintain project documentation and compliance with agreements, SLAs, and documentation policies.
- Troubleshoot traveler issues using available agent tools and resources.
- Develop and manage event budgets, monitor profitability, oversee invoicing and reconciliation, meet client requirements, and produce event reports and debriefs.
- Support team leads and managers, participate in team meetings, and maintain current industry and platform knowledge.
Requirements
- At least 5 years of event planning experience.
- Excellent knowledge of published, net, group, and NDC fares and ticketing.
- Professional oral and written communication skills.
- Proficiency with Microsoft Excel, Word, and PowerPoint, plus the ability to learn new technology.
- Ability to multitask and resolve urgent matters efficiently.
- Empathetic, professional, independent, and resourceful approach to customer issues.
- Ability to adapt and thrive in a high-growth environment.
- Strong understanding of event and delegate management software, including Cvent.
- Prior experience developing and maintaining key client and account-management relationships.
- Strong customer service skills.
- Reliability and flexibility to work early mornings, late evenings, and weekends.
- Interest in travel and basic world geography knowledge.
- Openness to training on Navan and R&M systems.
Preferred Qualifications
- 5+ years of GDS experience.
