Maintains Ashby and connected recruiting systems, supports recruiters and hiring managers, improves operational workflows, and enables reporting and automation. Requires at least two years of recruiting operations or HR systems experience plus hands-on Ashby administration.

Responsibilities
- Administer and maintain the recruiting technology stack, including Ashby, integrations, and downstream systems.
- Configure workflows, interview plans, permissions, and templates, and monitor data integrity across global teams.
- Provide first-line support for recruiters and hiring managers by triaging tickets and troubleshooting offers, approvals, scheduling, and candidate communications.
- Manage recruiting operations workflows, including PID and requisition management, approval routing, and offer process execution.
- Identify recurring recruiter friction and implement scalable process improvements.
- Support recruiting analytics by building and maintaining Ashby reports and dashboards, auditing data quality, and interpreting pipeline health, funnel conversion, and capacity metrics.
- Deploy AI-powered solutions to automate repetitive recruiting tasks, improve candidate experience, and reduce manual data entry.
- Partner with People Operations on onboarding handoffs and with IT on system integrations and access management.
- Write and maintain documentation, SOPs, and enablement materials.
Requirements
- Minimum 2 years of experience in recruiting operations, recruiting coordination, HR technology, or systems administration.
- Hands-on Ashby experience, including workflow and interview plan configuration, permissions, and report creation and maintenance.
- Experience implementing process improvements or automation, including AI/ML tooling, with measurable operational results.
- Strong analytical skills and comfort working with spreadsheets and ATS reporting.
- Ability to identify data quality issues and translate findings into practical recommendations.
- Systems-thinking orientation with the ability to map dependencies across tools, teams, and processes.
- High attention to detail, strong follow-through, sound judgment, and willingness to escalate issues when appropriate.
- Clear written communication and a service mindset toward recruiters, hiring managers, and candidates.
Nice to Have
- Experience supporting a rapidly scaling or global recruiting team.
- Familiarity with Workday, ModernLoop, LinkedIn Recruiter, Juicebox, assessment platforms, and ATS integrations.
- Light scripting, API, or no-code automation experience, such as Zapier, Workato, or Python.
