Manager, Administrative Coordinator Program

Manages the Administrative Coordinator program, leading a distributed team, overseeing hiring, capacity planning, onboarding, performance, and operational processes. The role partners with stakeholders to improve global program effectiveness and scale administrative support.

Responsibilities

  • Manage and lead a team of Administrative Coordinators.
  • Maintain an understanding of team workload and bandwidth.
  • Develop and maintain adherence to the program scope, ensuring individuals are set up for success.
  • Monitor team and individual performance and quality of support.
  • Develop and maintain program documentation and guidelines.
  • Provide regular feedback and coaching to team members.
  • Address program escalations, feedback, and concerns.
  • Build strong executive, peer, and stakeholder relationships; maintain effective communication channels and influence without authority.
  • Manage headcount and capacity planning in partnership with the ABP Program Manager.
  • Manage onboarding and training logistics for new Administrative Coordinators.
  • Serve as an expert on Stripe and ABP policies and guidelines, including travel and expenses; provide guidance on administrative best practices, tools, and processes.
  • Identify and solve large-scale, ambiguous, and complex problems with company- and organization-wide impact.
  • Drive strategic program changes, including processes, documentation, and measurement.
  • Draft and distribute communications across the ABP Team and to key stakeholders.
  • Ideate and implement process improvements for the global ABP Program.
  • Drive efficiency through simplification, automation, and continuous improvement of systems, processes, and ways of working.
  • Contribute to strategic planning and roadmapping for the global ABP Program.
  • Support tools, processes, templates, playbooks, and knowledge management efforts.
  • Exercise excellent judgment on sensitive and cross-functional issues, building collaboration across leaders, sub-teams, and the broader organization.

Minimum Requirements

  • Experience managing stakeholders and influencing critical client relationships.
  • Experience in headcount planning and hiring practices.
  • Experience in project and program management.
  • Experience as an Administrative or Executive Assistant, or deep knowledge of administrative support roles.

Preferred Qualifications

  • Experience managing or leading individuals or a small team.
  • Experience managing global programs.
  • Experience mentoring, growing, and developing individual contributors.
  • Experience managing bandwidth and balancing workloads across multiple individuals.
