Responsibilities
Support NIH Grants Management Specialists with high-volume technical and administrative tasks across the pre-award and post-award grants lifecycle.
Draft FOA templates and administrative sections, and maintain FOA publication tracking and clearance workflows.
Monitor the eRA Commons receipt queue and validate application completeness, forms, page limits, and required attachments.
Perform mathematical and consistency checks between SF-424 materials and budget justifications.
Prepare budget comparison worksheets, cost-analysis summaries, compliance checklists, risk and due-diligence materials, JIT summaries, correspondence, routing memos, and draft Notice of Award packages.
Track JIT requests and validate JIT materials.
Maintain shared mailbox triage logs and NIH tracking-system records under supervision.
Reconcile budgets against awarded amounts and prepare monthly or quarterly financial status summaries.
Track Federal Financial Report submissions and flag delinquent reports.
Review progress reports, other support, no-cost extension requests, and prior approval requests for completeness and policy issues.
Prepare issue logs, recommendation memos, administrative amendment documentation, closeout packages, archive packages, and weekly status reports.
Escalate issues that could materially affect award timing or compliance.
Participate in monthly performance review meetings with Grants Management Specialist leadership.
Leads the end-to-end accounts payable function, including payment operations, vendor management, month-end close, compliance, controls, and process improvement. Requires a bachelor's degree and at least five years of AP or accounting experience, including team or function leadership.
