Responsibilities

Executive Partnership

  • Partner closely with the VP of Engineering to maximize effectiveness and protect their time by managing calendars, requests, and conflicts.
  • Build an understanding of executive priorities, organizational goals, and business context to identify opportunities and risks.
  • Anticipate needs, solve problems independently, and act as a trusted extension of the executive with sound judgment and discretion.

Executive Operations

  • Manage complex calendars across multiple time zones and optimize executive time.
  • Prepare meeting agendas, briefing documents, attendee coordination, and follow-up actions.
  • Coordinate recurring department meetings, planning sessions, offsites, and events.
  • Track commitments, decisions, action items, and cross-functional dependencies.
  • Prepare presentations, communications, spreadsheets, reports, and briefing materials.
  • Prepare executives for board meetings, customer meetings, leadership presentations, conferences, and speaking engagements.
  • Coordinate work with the Chief of Staff to the CTO.

Cross-Functional Coordination

  • Partner with leaders across Engineering, Product, Design, People, Finance, Legal, Marketing, IT, and Operations.
  • Coordinate executive priorities and build trusted relationships across the company.
  • Collaborate with other Executive Assistants.

Project and Program Management

  • Support headcount planning and department budgets.
  • Support the executive performance review process.
  • Identify inefficiencies and implement scalable administrative and operational processes.
  • Build and operate repeatable systems that improve organizational effectiveness.

Travel and Logistics

  • Coordinate complex domestic and international travel, including itineraries, accommodations, visas, transportation, and contingency planning.
  • Manage executive expense reporting.
  • Coordinate department offsites, team gatherings, planning sessions, and company events.

Continuous Improvement

  • Evaluate executive workflows and identify efficiency improvements.
  • Use AI-powered and modern productivity tools to automate repetitive work.
  • Recommend and implement processes that improve collaboration.

Requirements

  • Significant experience supporting VP- or C-level executives in a fast-paced technology company.
  • Experience supporting Engineering, Product, Design, or other highly technical organizations.
  • Experience with Google Suite, Notion, Slack, Zoom, and Jira.
  • Ability to operate independently with minimal direction in rapidly changing environments.
  • Exceptional organizational and project management skills.
  • Outstanding written and verbal communication skills.
  • Strong business judgment, discretion, and escalation awareness.
  • Ability to anticipate executive needs and proactively remove obstacles.
  • Excellent attention to detail while maintaining broader business perspective.
  • Experience coordinating complex cross-functional projects involving senior stakeholders.
  • High emotional intelligence and ability to build trusted relationships.
  • Comfort navigating ambiguity and adapting as priorities evolve.
  • Strong systems thinking and continuous improvement mindset.

Compensation and Benefits

  • Base salary range: $104,000–$156,000 USD.
  • Compensation includes base salary, equity, and comprehensive benefits; individual offers vary by experience and skills.
