Cultural Partnerships Coordinator

Coordinate execution of Wispr Flow's celebrity, evangelist, and cultural partnership program. Own gifting, real-time activations, vendor management, evangelist support, tracking, and hands-on fulfillment in a fast-moving, high-ambiguity environment.

About the role

What you'll help run day to day

The evangelist machinery

  • Set up new signings so accounts, gear, and welcome pieces arrive proactively.
  • Coordinate shoot dates, stage appearances, and content deadlines across time zones.
  • Send prep briefs before appearances and collect photos, clips, and results afterward.
  • Chase deliverables in a way that strengthens relationships.

The gifting

  • Source and produce high-end custom pieces and personalized gift baskets for celebrity investors, podcasters, and others.
  • Ensure gifts feel bespoke and high-impact rather than generic.

Real-time activation

  • Execute quickly on cultural moments, celebrity mentions, or competitor events (same-day or next-day).
  • Pull vendors, source items, ship gifts, and stand up physical moments on tight timelines.

Sourcing, vendors, and production

  • Find and manage makers, fabricators, fulfillment partners, and couriers.
  • Negotiate with vendors and keep activations within budget.
  • Build a reliable vendor bench.

One-off builds

  • Participate in early brainstorming for unique partnership moments.
  • Turn approved concepts into executed real-world activations.

Keeping the program on the rails

  • Maintain master trackers for due dates, budgets, promo codes, and results across partners and time zones.
  • Handle project management, analytics, and record-keeping to provide a clear view of the program.

Keeping the day-to-day moving

  • Manage fulfillment, cross-team coordination, and small operational tasks until the team grows.
  • Help shape the future team structure.

Who you are

  • Organized to a fault; never drop balls in a complex program with many moving pieces.
  • Maintain clean spreadsheets, budgets, trackers, and status lists proactively.
  • Have strong taste and attention to detail; can distinguish high-impact gifts/activations from forgettable ones.
  • Have 3-6 years of relevant experience in events, activations, gifting, production, brand, or partnerships (or demonstrable impact with less).
  • Move fast in ambiguity and hypergrowth environments; prioritize shipping real outcomes quickly over perfection.
  • Comfortable both directing work and executing hands-on tasks (e.g., scoping builds one week, packing boxes the next).
  • Experienced or quick to work across functions (social, content, PR, partnerships, events) and leverage freelancers/vendors.

Logistics

  • Full-time, starting as a 3-month contract with clear path to longer-term role.
  • In-office several days a week in San Francisco, with travel to New York, LA, and elsewhere as needed.
