Responsibilities

Phase 1 (Months 1-3): Build the Operating System

  • Audit how work flows through the company by interviewing department heads and team members to map roles, responsibilities, and recurring tasks.
  • Implement project management platform (ClickUp) as the central source of truth: architect the workspace end-to-end including folders, lists, statuses, dashboards, templates, and automations.
  • Build automations for client onboarding/offboarding, employee onboarding/offboarding, weekly client tasks, retainer and content workflows.
  • Partner with Senior Account Managers to organize pods, structure teams, and track every account project.
  • Establish standardized status updates, clear task ownership, and slippage detection.
  • Manage end-to-end execution of projects across partners and teams.
  • Build and maintain detailed project timelines, workflows, dependencies, and launch plans.

Phase 2 (Months 3+): Run the Machine & Scale

  • Serve as accountability layer across account management, creator retainer division, and in-house content; tie disparate projects together.
  • Chase aging tasks and hold owners accountable in a respectful but firm manner.
  • Help founders take new initiatives from 0 to 1 (e.g., launching a new content offering) using internal resources.
  • As company grows, build and lead the project management / operations team.
  • Run leadership and portfolio cadences: prepare agendas, track KPIs and follow-ups, ensure decisions become assigned and completed work.

Requirements

  • 5+ years in project management, operations, or chief-of-staff-style roles, ideally at a marketing, creative, or digital agency.
  • Experience with Claude Code and process automation.
  • Deep, hands-on expertise with a project management platform (ClickUp strongly preferred; Asana, Monday, or Wrike acceptable). Must have personally built workspaces, automations, and dashboards from scratch.
  • Comfortable building/using AI functionality within and outside of platforms.
  • Track record of managing complex, multi-stakeholder projects and ensuring execution.
  • Excellent written and verbal English; able to run meetings across teams and seniority levels.
  • U.S.-based, comfortable working fully remote and self-directed.
  • Comfortable being firm, pushing people to deliver and enforcing processes while remaining respectful.

Nice-to-Haves

  • Experience scaling an ops or PM function and building a small team.
  • Exposure to influencer marketing, creator programs, e-commerce, or TikTok Shop.
  • Six Sigma, PMP, or similar process or quality background.

Compensation & Benefits

  • Base salary: $100,000 - $140,000 depending on experience, with room to grow as you take on team leadership.
  • Full-time role.
  • Hybrid in New York City (reports to founders Sam Habibi and Scott Skurnick).
