Legal Operations Specialist

Manages outside counsel and vendor billing, eBilling platforms, rate compliance, accruals, and legal spend analytics. Requires 2+ years of legal billing or eBilling experience, familiarity with LEDES and billing guidelines, and strong Excel and analytical skills.

Responsibilities

  • Prepare, review, and process outside counsel and vendor invoices; audit prebills and invoices for rate errors, block billing, mathematical discrepancies, and billing-guideline violations.
  • Operate the Onit eBilling and matter management platform, including invoice intake, LEDES processing, rejections and appeals, accruals, and international/AP invoice processing.
  • Enforce Outside Counsel Guidelines and negotiated fee or alternative fee arrangements; process write-offs, write-downs, and adjustments with complete documentation and audit trails.
  • Manage timekeeper and billing-rate submissions and approvals; maintain rate cards, matter budgets, and phase/task coding.
  • Resolve billing inquiries and disputes with attorneys, law firms, and support staff.
  • Partner with Legal Operations and Finance/Accounts Payable on accruals, month- and quarter-end close, reconciliation, and payment status.
  • Onboard outside counsel and vendors, including engagement letters, budgets, and billing-guideline acknowledgment.
  • Develop spend metrics, dashboards, benchmarking, and data analytics to identify trends and cost-saving opportunities.
  • Document billing workflows in playbooks and intake templates; support platform configuration, testing, efficiencies, and report validation.
  • Support broader Legal Operations initiatives and process improvements.

Requirements

  • 2+ years of legal billing or eBilling experience in an in-house legal department, law firm, or both.
  • Hands-on experience with an eBilling or matter management platform such as Onit, Legal Tracker, or Brightflag.
  • Familiarity with LEDES invoice formats, outside counsel billing guidelines, alternative fee arrangements, rate structures, and accruals.
  • Strong Microsoft Excel and analytical skills, with attention to accuracy in high-volume, deadline-driven billing cycles.
  • Understanding of financial management principles and process improvement.
  • Excellent communication and collaboration skills.
  • Ability to manage multiple priorities, anticipate issues, and work effectively in a changing environment.
  • Bachelor’s degree or higher preferred; accounting, finance, or business administration background is a plus.

Nice-to-haves

  • Experience with Ironclad, Evisort, Tonkean, and Google Workspace.

Compensation

  • Base salary: $59,040–$73,800 per year, excluding potential equity, bonus, and benefits.
