Responsibilities

  • Build strong connections within Global Affairs and OpenAI for Government, facilitating coordination on high-stakes projects.
  • Manage calendars, scheduling, and logistics for leaders across classified and unclassified engagements, including interagency meetings, secure briefings, and external meetings.
  • Share information clearly, adapting communication styles for audiences from Cabinet-level officials to agency staff.
  • Operate with discretion, optimizing processes, flagging risks, and handling sensitive information securely.
  • Serve as execution lead for events, government workshops, sponsorships, training, and customer meetings.
  • Work with stakeholders in Washington, DC office for on-site visits.
  • Act as strategic operations partner for National Security team, managing operating cadence, planning, travel, and communications.
  • Partner with chief of staff to develop annual planning calendar, coordinate milestones for budgets, offsites, summits, recruiting.
  • Own team information architecture (Notion, shared drives, templates, org charts, FAQs, distribution lists).
  • Keep onboarding materials current and track headcount growth needs.
  • Initiate teambuilding activities like happy hours, trainings, off-sites.

Requirements

  • 4-7 years of experience in executive support role or similar.
  • 2-3 years managing complex scheduling, logistics, high-level meetings with government/defense leaders, including clearances and sensitive information.
  • Experience working with multiple leaders.
  • Experience in high-growth startup or similar.
  • Managed and optimized busy calendars.
  • Exceptional attention to detail, anticipating issues, flawless execution for events/meetings.
  • Exceptional communication skills, tailoring messages to audiences.
  • Ability to motivate teams, drive accountability.
  • Proven ability to build processes and operational systems in fast-moving environments.
  • Professionalism, discretion, independent operation.
  • Fluent in Google Calendar, Docs, Sheets, Gmail, and modern productivity software.
  • Interest in AI technology.
