About the role

What You'll Do

Recruiting Coordinator (candidate- and recruiter-facing)

  • Own end-to-end interview coordination for assigned roles, including scheduling across time zones, managing last-minute changes, and ensuring candidates and interviewers have clear, accurate information.
  • Act as day-of “air traffic control” for onsites and virtual loops — monitoring schedules in real time, troubleshooting issues (no-shows, tech problems, late changes), and keeping recruiters and hiring managers informed.
  • Prepare and distribute interview materials, agendas, and debrief logistics so interviewers are set up to run high-quality, consistent conversations.

Recruiting Operations (systems- and process-focused)

  • Execute recruiting processes in Ashby and Workday with a high bar for data accuracy — creating and updating requisitions, moving candidates through stages, triggering approvals, and closing out hires and rejections on time.
  • Maintain clean, audit-ready data in Ashby and Workday by enforcing required fields, QA-ing entries, and resolving discrepancies in partnership with Recruiting and People Operations.
  • Run recurring operational workflows (e.g., offer approvals, background check initiation, onboarding handoff tasks) to ensure every hire flows smoothly from candidate to employee.

What You Have

  • 2+ years of experience in a recruiting coordination, recruiting operations, or similar talent operations role in a fast-paced environment.
  • Hands-on experience with an ATS (ideally Ashby or a similar system) and an HRIS such as Workday, including creating requisitions, managing candidate pipelines, and processing hires.
  • Strong organizational skills, with the ability to manage multiple concurrent interview loops, deadlines, and stakeholders without dropping details.
  • Clear, professional written and verbal communication skills, with a focus on setting expectations and closing loops with candidates, recruiters, and hiring managers.
  • Comfort making decisions in ambiguous situations, escalating when needed, and proactively suggesting process improvements based on what you see in the systems and day-to-day work.

$96,400 - $144,600 USD
