About the role
Key Responsibilities
Own interview coordination end-to-end: Schedule and manage complex, multi-stakeholder interviews across virtual and in-person formats, time zones, and roles - with zero dropped balls.
Deliver a white-glove candidate experience: Serve as the primary point of contact for candidates throughout the interview process, ensuring every touchpoint is responsive, clear, and reflects Fluidstack’s standards.
Keep the machine running: Proactively anticipate and resolve scheduling conflicts, logistical issues, and process bottlenecks before they become problems.
Maintain data integrity: Own accurate, up-to-date candidate records and workflow tracking in the ATS. Clean data is non-negotiable - it drives the decisions that matter.
Support the TA team operationally: Partner with TA Partners and Sourcers on administrative and operational tasks that keep pipelines healthy and hiring moving at pace.
Identify and improve: Spot friction in the process, flag it, and help build better workflows. Leave every system you touch better than you found it.

Requirements
1–2+ years of recruiting coordination, administrative, or operations experience - ideally in a fast-paced tech or startup environment.
Exceptional organizational skills - you can manage high volumes of moving parts across multiple roles simultaneously without losing quality or urgency.
Strong written and verbal communication skills - you’re responsive, professional, and clear in every interaction.
Hands-on experience with ATS platforms and scheduling tools; familiarity with Greenhouse, Ashby, or similar is a plus.
High attention to detail and a low tolerance for data errors.
Proven ability to operate autonomously in a fast-moving environment, prioritize competing demands, and maintain composure under pressure.

The base salary range for this position is $100,000 - $125,000 per year, depending on experience, skills, qualifications, and location.
