Responsibilities
Own calendar and scheduling support for an advisor or CX pod — coordinating client, prospect, and internal meetings with precision and follow-through
Handle inbound phone support in a professional, receptionist-style capacity — routing calls, distributing voicemails, and screening unwanted outreach
Manage expense reimbursements and mileage tracking via Ramp, plus coordinate travel logistics
Prep and maintain weekly reports, CRM updates, and physical meeting materials so everything's accurate and ready when needed
Coordinate client appreciation gifts, event logistics, and compliance tracking with our marketing and compliance teams
Be the connective tissue between advisors, CX team members, and internal partners — communicating clearly, moving fast, and staying organized across it all
Requirements
2+ years of administrative, executive assistant, or coordination experience
Natural with calendars, scheduling tools (Calendly, Google Cal, etc.), and keeping multiple moving pieces organized
Clear, professional communicator — know how to engage with different audiences and adapt tone accordingly
Proactive by nature — spot what's needed before being asked and take initiative to get ahead of it
Comfortable in a fast-moving, scrappy environment where you'll need to figure things out and make them work
Nice-to-Haves
Experience supporting a financial advisor, wealth management team, or similar client-services environment
Familiarity with CRM tools and expense management platforms like Ramp
Worked in a role where no two days looked the same — and loved it
