Executive Operations - R&D
Partner with 2-3 R&D leaders to manage operations, time prioritization, cross-functional projects, and executive support. Requires 5+ years supporting C-level executives at 1,000+ person companies.
Responsibilities
- Strategically partner with leaders to prioritize and coordinate time, ensuring alignment with department priorities and creating accountability systems
- Manage calendars including all internal and external meetings
- Organize, attend, and track meeting minutes and action items; ensure follow-up actions are completed
- Execute special projects using AI-driven research, analysis, and presentation preparation
- Manage multiple cross-functional projects and teams in parallel, keeping work on track
- Represent leaders professionally through phone, email, and chat with internal and external stakeholders
- Plan team off-sites, team-building events, and connect across the organization
- Build relationships with hundreds of internal and external stakeholders
- Manage complex travel including flights, hotels, transportation, and dining
Requirements
- 5+ years of direct administrative experience supporting C-Level executives or General Managers at organizations of 1,000+ people, with previous EA work spanning multiple departments
- Demonstrated ability to own large projects end to end with visibility to executive team and/or board
- Experience planning in-person, remote, and hybrid team events for large groups including executive offsites
- Proven ability to organize intricate travel schedules with multiple stakeholders
- Strong attention to detail and ability to prioritize multiple assignments under pressure
- Highly structured approach to time management with ability to explain the structure
- Intellectual curiosity and drive for continuous improvement and optimization
- Excellent written, verbal, and group communication skills
- Demonstrated ability to maintain complete confidentiality on business matters
- Strong fluency with Google Workspace, Claude, and other AI productivity tools with genuine curiosity for new tools
- High EQ with ability to read people well and put others at ease
